These Terms and Conditions govern your use of the POPE-AI website, private beta, software, forms, content, and related services operated by Manacore Intelligence. By accessing the website, submitting a form, applying for private beta, or using POPE-AI services, you agree to these terms.
POPE-AI is a product of Manacore Intelligence. References to “POPE-AI”, “we”, “us”, or “our” mean Manacore Intelligence and the POPE-AI product/service unless the context says otherwise.
POPE-AI is a voice-command HACCP and EHO record-keeping support system for professional kitchens. It is designed to help kitchens record, organise, review, and export compliance evidence such as temperature logs, delivery checks, incidents, corrective actions, probe calibration, opening checks, closing checks, and related kitchen records.
POPE-AI ONE is the single-account version for one kitchen. POPE-AI Kitchen is intended for larger single-site teams. POPE-AI Multi-Site is intended for groups and operators managing more than one kitchen.
POPE-AI supports HACCP record keeping and operational compliance. It does not replace trained food safety management, staff supervision, professional judgement, legal compliance, or the responsibilities of the food business operator and management team.
POPE-AI does not guarantee EHO approval, inspection outcomes, food hygiene ratings, legal compliance, or that a kitchen will pass an inspection.
Users remain responsible for the accuracy of all information entered into POPE-AI, including spoken records, temperature readings, corrective actions, incidents, staff notes, and exported reports. The account holder is responsible for training staff, checking records, maintaining food safety procedures, and ensuring the system is used correctly.
POPE-AI records what users instruct it to record. If a user gives inaccurate, incomplete, unclear, or false information, the resulting record may also be inaccurate.
Private beta participation is at our discretion. We may accept, decline, pause, or remove beta access at any time. Beta access is currently free for selected kitchens and does not guarantee future access, future pricing, service availability, or commercial launch terms.
Beta software may contain bugs, incomplete features, test workflows, outages, errors, or changing functionality. Beta users should not rely on POPE-AI as their only compliance system unless and until they have independently satisfied themselves that it is suitable for their operation.
Account holders are responsible for controlling access to their POPE-AI account, keeping login details secure, choosing appropriate staff permissions, and ensuring only authorised people use the service. You must tell us promptly if you believe account access has been compromised.
You must use POPE-AI only for lawful and legitimate professional kitchen record-keeping purposes. You must not use POPE-AI for fraudulent, misleading, unsafe, unlawful, or harmful activity.
You must not deliberately enter false compliance records, interfere with the service, attempt to reverse-engineer or scrape the system, redistribute the service, damage POPE-AI or Manacore Intelligence, or use the service in a way that harms other users or third-party systems.
Use of POPE-AI is also governed by our Privacy Policy. Private Kitchen Mode is the default. Optional Shared Learning Mode, where offered, may use anonymised and aggregated operational patterns to improve the product or support future intelligence features.
Shared Learning does not include business identity, recipes, suppliers, exact procedures, staff records, private notes, or site-specific methods. Any Shared Learning annual discount applies only where the customer actively chooses the relevant annual plan.
POPE-AI may provide exports, reports, dashboards, or record files for review and inspection evidence. Customers are responsible for checking exports and ensuring records are complete, accurate, and suitable for their own use. We do not guarantee that any export will satisfy a particular inspector, authority, auditor, buyer, insurer, or third party.
During private beta, selected beta access may be free. Planned launch pricing may include POPE-AI ONE, POPE-AI Kitchen, and POPE-AI Multi-Site plans. Published pricing may change before commercial release.
When paid subscriptions are introduced, payment terms, renewal dates, cancellation rules, taxes, billing periods, and plan features will be shown at sign-up or in the customer account area.
Refunds and cancellations are governed by our Refund Policy and any specific subscription terms agreed at sign-up. Free private beta access does not create a right to free commercial access after launch.
All POPE-AI branding, website content, product design, software, workflows, copy, graphics, documentation, and related materials are owned by Manacore Intelligence or its licensors unless stated otherwise. You may not copy, reproduce, modify, distribute, resell, or create derivative works without written permission.
We may update, improve, suspend, replace, remove, or modify website content, beta features, product features, pricing, or service availability at any time. We will aim to act reasonably, but we do not guarantee uninterrupted access, especially during private beta.
To the maximum extent permitted by law, Manacore Intelligence will not be liable for indirect, incidental, special, consequential, or business losses, including loss of profit, loss of revenue, loss of goodwill, loss of data, business interruption, inspection failure, or losses arising from inaccurate user entries or failure to maintain food safety procedures.
Nothing in these terms excludes liability where it cannot legally be excluded under the laws of England and Wales.
Website content, beta guidance, product material, and POPE-AI outputs are provided for operational support and general information. They are not legal advice, food safety consultancy, insurance advice, or a replacement for qualified professional guidance where required.
We may suspend or terminate access where we reasonably believe there has been misuse, security risk, non-payment, breach of these terms, unlawful activity, or conduct that may harm POPE-AI, Manacore Intelligence, other customers, or third parties.
These terms are governed by the laws of England and Wales. Any disputes will be subject to the courts of England and Wales, unless mandatory law gives you other rights.
We may update these terms from time to time. Changes will be posted on this page with an updated revision date. If changes are material, we may provide additional notice where appropriate.
