POPE-AI treats kitchen data as commercially sensitive. Recipes, prep systems, supplier information, operating procedures, staff records, HACCP records, menu details, and site-specific kitchen knowledge belong to the customer.

Your secret sauce stays yours.

1. Who We Are

POPE-AI is a product of Manacore Intelligence. Manacore Intelligence is the data controller for website enquiries, private beta applications, customer account administration, and related POPE-AI services.

2. Private Kitchen Mode

Private Kitchen Mode is the default. Your kitchen records are used to run your account, store your records, produce reports, provide support, maintain security, and meet legal obligations. They are not shared for wider learning, benchmarking, resale, or commercial use outside your account unless you separately choose an optional sharing mode.

3. Shared Learning Mode

Shared Learning Mode is optional. If offered and selected, it may allow POPE-AI to use anonymised and aggregated operational patterns to improve the product, develop benchmarking, improve reliability, or support future intelligence features.

Shared Learning does not include your business identity, recipes, suppliers, exact procedures, staff records, private notes, or site-specific methods.

Shared Learning annual discount: customers who choose Shared Learning Mode on an annual plan may receive 12 months for the price of 10. This discount is annual only and is not available on monthly plans.

4. Information We Collect

We may collect name, role, business name, email address, phone number, kitchen type, number of sites, location or country, beta suitability information, messages, support requests, account details, billing information, website usage data, device/browser information, and security logs.

If you use POPE-AI as a customer or beta tester, the service may also store HACCP and operational records such as temperature logs, delivery checks, corrective actions, incidents, calibration records, goods receiving records, service checks, and export history.

5. What We Do Not Share From Private Kitchen Mode

POPE-AI does not use Private Kitchen Mode data to expose, sell, or share your recipes, supplier names, purchasing strategy, exact procedures, prep systems, production methods, staff records, private notes, business identity linked to operational learning, or the commercial methods that make your kitchen yours.

6. How We Use Information

We use information to process beta applications, respond to enquiries, create and manage accounts, operate and secure POPE-AI, store records, generate reports and exports, provide support, improve reliability, fix bugs, send relevant product updates where permitted, and meet legal or regulatory obligations.

7. Beta Testing

During beta, POPE-AI may collect usage and error information needed to test, debug, secure, and improve the system. Kitchen records remain private unless the account holder separately agrees to Shared Learning Mode. Beta software may include incomplete features, bugs, or testing workflows.

8. Cookies and Website Analytics

This website may use cookies and similar technologies to operate the site, improve user experience, understand basic usage, and maintain security. You can control cookie preferences through your browser settings.

9. Storage, Security and Access

We take reasonable technical and organisational measures to protect data. Access is restricted to authorised personnel and service providers who need access to operate, support, secure, or improve the service. No online service can guarantee perfect security.

10. Exports and Portability

Customers should be able to export their records. POPE-AI is intended to support practical export of compliance records for review, management, inspection evidence, and business continuity.

11. Data Retention

We keep information only for as long as reasonably needed to provide the service, maintain records, meet legal obligations, resolve disputes, maintain security, manage backups, and carry out legitimate business administration.

12. Your Rights

Depending on your location and applicable law, you may have rights to access your personal data, request correction, request deletion where legally appropriate, withdraw consent, object to certain processing, and lodge a complaint with a relevant supervisory authority.

13. Third-Party Service Providers

POPE-AI may use trusted providers for hosting, email, analytics, payment processing, security, support, and infrastructure. These providers should only process data as needed to provide their services to POPE-AI and should not use customer kitchen data for unrelated purposes.

14. Food Safety Responsibility

POPE-AI supports HACCP record keeping and operational compliance. Final responsibility for food safety remains with the food business operator and management team. POPE-AI does not replace trained food safety management and does not guarantee EHO approval.

15. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date.
